What actually keeps a ductless service bill down
Do the filters yourself, monthly in heavy use. Lift the front cover, slide the mesh screens out, rinse them, let them dry completely, refit. That is most of what keeps a ductless system healthy and it costs nothing. What you are actually paying a technician for is the part you cannot reach: the blower wheel and the indoor coil, where the musty smell comes from and where a rag cannot go. Also check how multi-head pricing works — there is one outdoor unit serving all of them, so additional heads should cost less than the first, not the same.

What can I genuinely do myself?
The filters, and they matter more on ductless than on anything else. They are fine mesh, they clog quickly, and a clogged pair causes weak airflow, dripping water and a musty smell all at once. Rinse them monthly in heavy use and you have prevented most of the calls we get.
Why does it smell musty even with clean filters?
Because the smell lives on the blower wheel and the indoor coil, behind the filters, where you cannot reach. That is the deep clean, it needs the unit partly dismantled, and it is the one part of ductless maintenance genuinely worth paying for.
Should multiple heads cost the same each?
No. They share one outdoor unit and one visit, so each additional head should be priced lower than the first. Full price per head on a multi-zone system is padding, and it is worth asking about directly.
How often does ductless need a paid service?
Once a year for a deep clean is plenty in most homes, with you doing the filters in between. More often only if there are pets, heavy cooking nearby, or someone with bad allergies in the house.
Does it need refrigerant topping up?
No. It is a sealed system. If it is low it is leaking, and that is a repair with a diagnosis rather than a routine maintenance item. Refrigerant on a service invoice is a question, not a line you should just pay.
